In order for reports to be accurate, if an appointment is
cancelled and not refilled it needs to remain as a HOLD.
If it is changed to a BLOCK it will not be included in
reporting.
This also applies if an appointment
is cancelled; made into another type of appointment (eg CWC -
Consultation with a Counsellor)
and subsequently not filled – because then it needs to be
counted as a cancelled appointment.
First ensure that your system
includes the correct unfilled appointment type. If it does not,
create it in the usual way from the Data
>
Appointment Type Menu. The type you will create is:
ID of “UF” and
description of Unfilled Appointment
The following examples show the
correct procedure:
Example 1: Without Fill-in
A series of appointments has been booked weekly for the same day
and time. The client cancels a mid-series appointment. The
counsellor cannot take a different type of appointment to fill
in:
• CANCEL the appointment
• BLANK the appointment
• HOLD the appointment using appointment type of
Unfilled Appointment
Example 2: With Fill-in
A series of appointments has been booked weekly for the same day
and time. The client cancels a mid-series appointment. The
counsellor can take another type of appointment such as a CWC:
• CANCEL appointment
• BLANK the appointment
• HOLD the appointment as a CWC
If the CWC is subsequently not filled you should amend the entry
entry to a Held Appointment Type of Unfilled Appointment
so it counts correctly in reporting
