How do I create a cashbook in AppointmentsPRO?

          NB: Please notify the support desk if you are going to create a cashbook so that we can exclude these appointments from your reports.

 1. IMPORTANT NOTE Cash Receipts are NOT Appointment Payments!

Each appointment on the grid can have a payment recorded against it.  The payment may be made in advance, and will be recorded against the actual appointment on the grid, using the ‘Record Payment’ action on the right-mouse-button menu.

 2. Cash Receipts are always for ‘Today’

The recording of daily cash receipts is a separate activity, and is always recorded in the cashbook column on the day the payment is taken, irrespective of the date of the appointment being paid for.  To use these instructions, first create a resource type pf Accounts by selecting DATA>RESOURCE>TYPES and typing 'Accounts' in the description field. Do not tick any of the other boxes. Click Save.

Next create a Resource called Cashbook using the DATA RESOURCE DATA menu, filling in the fields exactly as in the illustration below:

Now click Save.

Next, create an Appointment Type of Payment using the DATA APPOINTMENT TYPE menu, with a duration of 15 minutes.

 3. Step-by-step Guide to booking in a cash receipt

 3.1 On your chosen page (we recommend you create have one called ‘TODAY’), ensure that the left-hand column contains the Cashbook resource.  If it doesn’t, click in the grey square at the top of the column, and select Cashbook from the list of available resources. If you can’t see it, change to the Accounts category first.

 3.2 Ensure that the calendar is set to today’s date

 3.3 Ensure that the name of the client making the payment is displayed in the demographic area (top left of screen)

 3.4 Choose any white segment in the cashbook column. Right click, select ‘Make’, Click ‘Add’, choose an appointment type of ‘Payment’, click OK twice to return to the grid. The segment will now be blue, with the client’s name in it.

 3.5 Right click on the blue segment, select ‘Record Payment’, and enter the payment type and amount in the usual way.

 NB: If you want to check that the amount has been recorded correctly, double-left-click on the blue segment.  The payment will be noted in the top right-hand part of the screen.

Your software is out of date. Please request an updated appts32.exe from our support staff.

My booking screen has lost all its appointments

This problem can arise when a user's screen setup is accidentally over-written. The solution is to go to the Tools>Preferences>User Maintenance menu, and copy the correct screen setup from another user's settings.

If all the users' settings have been over-written, then log back in to AppointmentsPRO as yourself and place the Practitioners back in their columns.
